Can we refuse to reimburse an employee for expenses until the employee submits documentation verifying the claimed expenses?

Employers must reimburse employees for necessary work-related expenses under California Labor Code Section 2802, but the law does not specify when reimbursement must be made.

Employers may require employees to submit written claims with supporting documentation and may reimburse expenses on a regular schedule (e.g., monthly).

However, if an employee does not comply, they may still pursue a claim, and the employer (including certain individuals) may be held liable if reimbursement is owed. Employees have three years to bring such claims.

According to California Labor Code Section 203, unreimbursed expenses are not considered wages, so waiting-time penalties do not apply.
